SECRETARY (BAND LEVEL 3)

Reporting to the Manager of Operations, but collaborating with Principal Investigators (PIs), and working with minimal supervision, the successful applicant will perform secretarial duties to support the 6for6 Program, a faculty development research program for rural and remote physicians. Duties include providing administrative assistance for the 6for6 Program Team; taking and transcribing minutes of meetings; preparing and distributing agendas; scheduling meetings and providing necessary support via email, teleconference, and web conference; arranging travel; coordinating catering; scheduling in-person and virtual program sessions in consultation with PIs and the Program Coordinator; communicating in person, by telephone, online, or correspondence; preparing letters, memoranda and correspondence; proof-reading documents for grammar and formatting; updating and maintaining documents, spreadsheets and reports; preparing administrative and financial documents for approval; uploading prepared files and documents to a webpage; maintaining a computerized and manual filing system; ordering office supplies; and performing other related duties as required. Occasional overtime (time in lieu) and travel may be required. QUALIFICATIONS
Experience (1-3 years) in secretarial or administrative work; graduation from high school supplemented by courses in business education, office administration or secretarial science; or any equivalent combination of experience and training. Knowledge of Microsoft Outlook, Word, and PowerPoint is required. Attention to detail, strong written and verbal communication skills, organizational skills, and ability to work independently are required. Experience scheduling educational sessions and meetings, and experience working with education programs or distributed teams will be considered assets. SALARY $34,952 - $49,008 (CUPE Local 1615)
