Administrative Coordinator

Job description

BCIT’s School of Health is seeking a temporary, full-time Administrative Coordinator. This position provides coordination and support to the SOHS Education Readiness Core Project Team on the Education Readiness Plan and implementation for the Health Sciences Centre. Provides administrative support in the areas of financial, administration, timetabling, asset tracking, and other operations related activities required for the SOHS move to the Health Sciences Centre and assists the Associate Dean, Health Sciences Centre Project as required.

Duties & Responsibilities DUTIES & RESPONSIBILITIES:
Provides support on project coordination including: implementing and executing project work as assigned such as: operational,
administrative, record keeping, equipment tracking, and time-tabling towards the
education readiness plan; in conjunction with the core project team, preparing manuals for project processes,
structure and organizational alignment necessary to sustain the project; reviewing and assessing project requirements as assigned in conjunction with the Project Lead and other members of core project team; assisting Project Core Team regarding the activities as they pertain to coordination and
operationalization of the project plan; ensuring existing and new procedures and operations documentation are aligned within
SOHS and maintained within a standardized filing and record keeping system; organizing and providing support towards meetings and activities, including scheduling,
preparing agendas, minute taking and distribution and action items follow-up; communicating both verbally and in writing with internal and external stakeholders
across the Institute to request and provide project related information; establishing strong working relationships with Core Project Team, SoHS, facilities and
other stakeholders in the BCIT community and external clients; maintaining currency of Health Science Centre website including overall coordination
reviewing and updating of content; maintaining and updating assigned SoHS databases to ensure data integrity of
documentation and systems; researches, summarizes and prepares reports as they pertain the project; Coordinates special projects as assigned. Provides administration support to the Associate Dean by: managing Associate Dean’s schedule by booking meetings, maintaining and organizing calendars, preparing materials for meetings, maintaining calendars and ensuring all relevant information is provided to the Associate Dean in advance of meetings; screening and routing correspondence for Associate Dean’s signature when required; responding and handling incoming telephone inquiries and redirecting internal and external inquiries as required in a timely manner. Undertakes related duties as assigned, consistent with the job grade of this position.

Qualifications QUALIFICATIONS:
Grade 12 plus completion of two years’ relevant education or training. Experience:
Two years general experience and two years of administration or coordination experience in a similar environment. Software/Computer Application(s) and Expertise: Demonstrated experience in relevant computer applications Communication/Interpersonal Skills: Exceptional interpersonal and communication skills in dealing with various levels of external and internal clients. Demonstrated ability to problem-solve using tact and discretion while maintaining
confidentiality. Demonstrated commitment to collaboration and teamwork. Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.): Demonstrated attention to detail and accuracy, and ability to model high quality
customer service. Excellent organizational skills and ability to handle multiple priorities in a demanding
environment. Deals with confidential information in tactful and professional manner. Other Skills/Abilities: Shift work/flex hours may be required.

Salary Range Pay Grade 7: $50,695 to $55,252 per annum
Additional Salary Information External hires are initially placed at the minimum of the salary range with progression to the maximum. Salary prorated based on percentage and term of appointment.
