Position Summary Reporting to the Manager, Children’s Ambulatory Medical Care, the Registration/Scheduling Clerk is responsible for timely patient registration and processing, providing general clerical support to members of the Endocrine/Diabetes Team, assisting clients and staff as required and scheduling of clinic appointments, both on a requested and discretionary basis. While this position is focused with the Endocrine/Diabetes Team, the clerk will occasionally share registration/scheduling/clerical support (with other clerical staff) to other teams within Children’s Ambulatory Medical Care. Responsibilities include, but are not limited to:
Scheduling Endocrine/Diabetes Team appointments, using discretion to accommodate various needs of clients and staff.Coordinating appointments for patients requiring multi-disciplinary sessions.Registering patients for Endocrine/Diabetes clinic visits and encounters.Greeting and directing patients and families.Accurately entering patient information into CWS (Meditech).Completing various health forms as required.Receiving and relaying messages via phone, e-mail and fax.Maintaining adequate supplies and orders as needed.Providing general support to clients and staff (ordering blood work, filing, photocopying, making telephone calls, sending e-mails workload data, etc.).Working with the Diabetes Team to coordinate and organize group teaching sessions.Accurately entering patient visit and demographic information into the DCPNS data base.
Hours of Work Monday to Friday, 0730 – 1530 hours (flexibility required) Qualifications Minimum High School Diploma or GED requiredGraduate of a recognized Office Administration Diploma Program preferredPrevious experience in a Registration/Scheduling position is an assetExperience in an ambulatory health care setting an assetExperience with the DCPNS data base is an assetWorking knowledge of Microsoft Office and other computer programs/technology (testing may be conducted on candidates)Data entry skills required (testing may be conducted on candidates)Working Knowledge of Meditech and Community Wide Scheduling (CWS) preferredExperience Booking ZOOM for Healthcare appointments preferredKnowledge of Medical terminology preferredExcellent multi-tasking, organizational and prioritization skills requiredProven team player with excellent communication and interpersonal skills requiredDemonstrated ability to respectfully work with a variety of inter-professional team members requiredDemonstrated excellent prioritization and time management skills requiredDemonstrated high regard for quality and attention to detail requiredDemonstrated initiative; self-motivated to work independently with minimal supervision requiredDemonstrated knowledge of and commitment to Family Centred Care requiredCompetency in other languages an asset; French preferred
